PeopleSoft upgrade continues with improvements to finance software

Information Technology Shared Services (ITSS) has begun upgrading its PeopleSoft Finance system from version 9.0 to 9.2. The UNT System uses PeopleSoft Finance to streamline many financial processes. The upgrade includes making improvements to areas such as the general ledger, accounts payable, purchasing, grants and asset management functions. The upgrade is necessary to stay current and keep the software on a supported version of PeopleSoft.

“This is a mandatory license upgrade, but we’re using this investment to do more than just continue all current practices” said Chancellor Lee Jackson. "Along with our other business process improvements, we’ve asked the PeopleSoft team to make sure we configure our financial software to support a more effective and efficient operating environment. By using more modules and reducing source code modifications, we will use more of PeopleSoft’s built-in capabilities to streamline, automate and modernize outdated practices throughout our organization. This is a critical part of our overall financial transformation.”

The same ITSS team that worked together to upgrade the human resources and payroll system along with the launch of the EIS portals unveiled  this summer have been working on the financial portion of the project too. The team includes Kem Marcum, ITSS director of finance and administration systems applications and project coordinators Kasandra Bell and Lauren Buchanan along with Ciber Inc. consultants. In conjunction they have also been working with Huron Consulting Group on a separate, but related initiative, to update the chart of accounts.

The chart of accounts is being redesigned to better accommodate financial reports and statements at a system level and for each UNT campus. The new design broadens the capacity for the financial management of programs, activities, projects and funds administered by academic, auxiliary and administrative departments across the institutions.

Planning and preparation for the finance upgrade will have a substantial impact on financial processes for the 2016 fiscal year. For example, employees who are responsible for creating purchase orders will start using the modules in July 2015. Also, employees who are responsible for handling budgets will start to use the new chart of accounts to create budgets for fiscal year 2016.

The overall finance upgrade will be complete and made available to users through the portal September 2015.

An objective of the project is to remove customizations that had been previously applied in the original PeopleSoft implementation more than 10 years ago.

In addition to the finance upgrade, two new modules are being introduced. The new ePerformance module will be used for employee performance reviews, goal setting and individual development plans. The Talent Acquisition Management module will streamline the process of filling vacancies, including the posting of job openings online and managing candidate applications. Both modules will be rolled out in phases starting this fall. Faculty and staff will be notified via email once training is made available for the new modules.
