Managing university records

Disposing of records does not have to be a tear-jerking event of frustration. 

Here are some updates and reminders to get you started and finished with getting those old records disposed of properly.

  • The current Records Retention Schedule (RRS) is available for use on the Institutional Records Management Program website. Please refer to this schedule when completing your Final Disposition Log (FDL).
  • Please ensure that you have identified a Records Management Representative (RMR) for your unit and that everyone in your unit knows who that person is.  If your unit does not have an RMR, please review the RMR  tab on the Records Management website to help you with this process.


  • A university record may not be destroyed if any litigation, claim, negotiation, audit, open records request, administrative review, or other action involving the record is initiated before the expiration of the retention period for the records series in the approved Records Retention Schedule.
  • Records cannot be disposed of before their retention period or if they are not on the RRS, and they cannot be disposed of prior to approval of the FDL by the Institutional Records Management Program in the Office of Institutional Compliance.
  • Units should use the current Final Disposition Log to list all records to be disposed of and send this log to Institutional Records Management through email at
